The Art Information and Computer Systems Coordinator will be responsible for managing the documentation of art collections information and the computer systems used to electronically document and image the art collections. As such, he or she will be responsible for maintaining the software and hardware required to document and deliver art collections information, including The Museum System (TMS), eMuseum, and the imaging systems; develop and monitor in-house data and imaging rules, procedures, and standards required for maintaining data and image consistency and for meeting national cultural object documentation standards; participate in the continued cataloguing of the art collections, and the creation, archiving, and linking of digital images of the art collections and exhibitions; maintain and expand eMuseum and develop new tools and methods for disseminating art collections; develop reports from TMS using Crystal Reports; train Art Division staff in the use of TMS, eMuseum, and the imaging systems. Applicants will be asked to present a portfolio of images they have produced of collections objects and installations.
Essential Functions: Database Administrator functions: Function as database administrator for The Museum System (TMS), eMuseum, and the imaging systems. Maintain the software and hardware required to document and deliver art collections information. Develop and monitor in-house data and imaging rules, procedures, and standards required for maintaining data and image consistency and for meeting national cultural object documentation standards. Participate in the continued cataloguing of the art collections, and the creation, archiving, and linking of digital images of the art collections. Maintain and expand eMuseum. Develop reports from TMS using Crystal Reports. Act as a liaison with the software vendors. Act as a liaison with other Huntington departments, including the IT Department. Provide ongoing TMS training for the Huntington staff. Photographer functions: Service all photography needs of the Art Division including existing collections, acquisition candidates, new acquisitions, permanent and temporary installations, and incoming loans. Produce publication quality photographs of collections for record keeping purposes and special projects. Digital Asset Manager functions: Archive and Map all images and documentation in appropriate formats. Create, maintain, and update links between image documentation and object records. Maintain and update all imaging and documentation equipment, including printer, Mac computer, Scanner, CD-burner, imaging and graphics software, and photography equipment. Manage supplies related to imaging and graphics equipment including ink cartridges, CDs, batteries, various paper sizes for label/graphics printing, etc. Able to perform troubleshooting, maintenance, and minor repair of all imaging and graphics software and equipment; and to answer questions and provide assistance when others are using equipment. Maintain records and image archive in appropriate location and maintain files in appropriate formats for staff utilization. Handle image research requests and offer assistance for outside inquiries. Interface and coordinate with imaging programs across institution. Archive record standardization and updating for web interface. General Departmental Duties: Working knowledge of imaging and graphics programs used at the Huntington including Adobe Photoshop, In-Design, Illustrator. Generate reports informing staff and institutional governance bodies of progress and activities. Other duties as assigned.
Qualifications: Minimum of a Bachelor’s Degree in Art, Art History, Information Technology, Museum Studies, or a related field. Minimum of five years Database Administration, photography, and Digital Asset Management experience. Excellent organizational and communication skills are required. Knowledge of Mac and PC operating systems preferred. Experience with TMS and eMuseum are preferred. Knowledge of and experience using SQL. Ability to write Crystal Reports.
