THE HUDSON RIVER MUSEUM ( is the largest cultural institution in Westchester County and an AAM-accredited, multidisciplinary complex that draws its identity from its site on the banks of the Hudson River, seeking to broaden the cultural horizons of all its visitors. The Museum collections focus on 19th-century through contemporary American Art; Glenview, an 1876 house on the National Register of Historic Places; Hudson Riverama, an environmental teaching gallery; a state-of-the-art, 120-seat planetarium, and a 400-seat outdoor amphitheater. It presents exhibitions, programs, teaching initiatives, research, collection, preservation, and conservation – a wide range of activities that interpret its collections, interests and communities. Position Title: Registrar

Reporting Relationships: This role will report to the Chair, Curatorial Department

Overall Mandate:

The Registrar is responsible for incoming loans for three major exhibitions each year and the care and management of collections. To involve traditional caregiving of the cultural collection, including six historic period rooms, and digital registration of permanent collection objects. Manages all external loan agreements, collection records, gift and donor agreements, inventory control, rights and reproductions for loans and collections, and cataloging of new acquisitions and loans. S/he initiates, supervises and implements all art crating, shipping and physical transfers of incoming loans, exhibition tours, and the collections, supervises art handling and collaborates with the Senior Art Technician on art installations; and is responsible for the proper management of the museum exhibition and storage areas. Registrar responsibilities include the Collections Management Plan in consultation with the Chair, Curatorial Department, Facilities Reports, Risk Management and Disaster Plans. The role ensures the HRM’s compliance with the American Alliance of Museums best practices regarding collections and loan care.

Key Responsibilities:
Serves as Registrar for Museum’s Art Collection
Maintains collection management database (TMS) including 25,000 permanent collection records and loans
Manages correspondence, official paperwork and logistics associated with incoming and outgoing loans for the Museum, including potential exhibition tours;
Negotiates details of loan arrangements with registrars and couriers at major museums, as well as private collectors, living artists, and shipping companies;
Coordinates the Museum’s fine arts insurance coverage and risk management for art initiatives;
Serves as the Museum’s archivist for the Museum’s collections and exhibition records;
Oversees all contracts related to gift/acquisition of art and artifacts in addition to proper condition reporting;
Secures images and non-exclusive licenses for permanent collection work, new acquisitions, and loan exhibitions;
Handles rights and reproduction requests for incoming loans and the permanent collection;
Supervises interns and volunteers assigned registration duties;
Performs other duties as assigned

Education, Experience and Skills:
Master’s degree in Art History, Museum Studies, Studio Art Library Science or relevant field from a regionally accredited institution and minimum two (2) years of experience in museum registration, arts administration, collection management or related area within the fine arts industry; or Bachelor’s degree in Art History, Museum Studies, Studio Art Library Science or relevant field from a regionally accredited institution and 4+ years of experience in museum registration, arts administration, collection management or related area within the fine arts industry

Possess detail-oriented skills with special attention to accuracy
Excellent project management and organizational skills
Ability to handle sensitive material and information
High level of written and oral communication skills
Knowledge of copyright, fair use, and licensing in regards to the visual arts
Knowledge of proper art handling practices
Demonstrated experience with responsibilities such as supervision and training of art handlers
Excellent knowledge of conservation and preservation practices
Ability to travel occasionally to offsite work locations, such as artist’s studios or venues for traveling exhibitions
Possess strong organizational skills and manage multiple priorities
Ability to be flexible, communicate and negotiate effectively and work collaboratively in a team environment
Ability to work effectively with a wide range of constituencies in a diverse museum and community and use proper protocol for high level guests and loan organizations
Proficiency in Microsoft office software, Gallery Systems TMS (or related database experience), Climate Monitoring software (Hobo Loggers, etc.) and other specific computer programs related to area of responsibility
